📂 Patient files and documents
Before you start
Open Patients, select the patient and check the name and patient number. This screenshot set uses fictional patient #9 / DEMO STARTER / 教學新同事. Have the correct file ready on your computer. The example below is a fictional text file with no patient information.
| Tab | What is stored here? |
|---|---|
| Files | Files uploaded to the patient record. |
| Documents | Documents available in the patient's document list, with a preview area. |
1. Open Files
Select Files. Use All, Image or Other to choose the file category. An empty result does not mean the patient record is missing.
2. Upload a file
- Select Upload.
- In the computer's file picker, select the correct file.
- Check the file name before confirming the selection.
- Wait for the upload to finish. Do not close the patient panel while it is uploading.
- Check that the file name and upload time appear under this patient. A file must not exceed 20 MB.
3. Open or rename a file
- Select Open on the correct file. The browser may open a preview or download the file, depending on its type.
- To change its displayed name, select Rename. In Rename File, enter the new name and select Save. Keep the file extension, such as
.txtor.pdf, appropriate to the file. - Select Cancel to keep the current name.
4. Delete a file only when authorised
- Confirm the patient and the exact file name.
- Select Delete on that file.
- Read the confirmation. It says the action cannot be undone.
- Select Cancel if you are unsure. Select Delete only when the deletion has been approved.
- Check that the intended file has disappeared. Do not delete a second file just because the list has moved.
5. Review Documents
- Select Documents in the patient panel.
- Select a document from the list to load its preview.
- Check the patient's name, document title and date in the preview.
- If the page offers Browser print, wait for the PDF to be ready before printing.
- If preparation fails, use Retry loading the PDF and check the preview again.
Printer connection and external print services are outside this guide. A preview alone does not prove that paper was printed.
When the document list is empty
No documents means this Documents list has no document to select. Check Files if you only uploaded an attachment. Do not repeatedly upload the same file because Documents is empty.
📸 Document preview and archive example pending
This round did not verify the complete path from a saved document to its PDF preview. This section shows how to check an empty list. Successful preview, archiving and physical printing are not verified results.
This demonstration opened the deletion prompt and selected Cancel. The fictional text file remains saved.
❓ FAQ
Upload finished, but I cannot see the file. What should I check?
Check the selected patient and choose All. A text or PDF file may be under Other, rather than Image. If the request failed, check the file size and the error message before uploading again.
Nothing happened when I selected Open. Did the file disappear?
The browser may have blocked a new window. Check the browser's pop-up indicator and the download list. The file is still stored if its name remains in Files.
Can I upload a file to the wrong patient, then rename it?
Renaming does not move a file to another patient. Stop and follow the clinic's record-correction process. Upload the correct file only after checking the intended patient.
Does Delete have an undo button?
The confirmation says the deletion cannot be undone. Use Cancel when you are unsure. Ask the authorised record owner before removing clinical material.
Why is Documents empty although Files has an upload?
They are separate lists. An upload under Files does not automatically become a generated document under Documents.
