🏥 Clinic and team settings
Goal
Understand the shared settings that control who can work in a clinic.
Before you start
Only an authorised clinic administrator should change these settings. A change can affect many staff members.
What these settings do
- Clinics: the clinic locations available to the account.
- Users: staff accounts and their clinic membership.
- Roles: groups of permissions that decide which work pages and actions are available.
- Departments: clinic departments used in appointments and clinical records.
Do these steps
1. Find the Settings menu
- Scroll down the left menu to Settings.
- Select Settings to expand its items.
- Choose Clinics, Users, Roles or Departments, then check the page heading.
2. Review or edit a clinic
- Open Settings → Clinics and search before adding another clinic.
- Check Name, Name (English), Status and Phone in the list.
- Use the row's pencil to edit. The trash button is a separate delete action.
- In Edit Clinic, check Name, Active, Opening Time, Closing Time and Patient No Prefix.
- Users selects the clinic's members. It is not a patient list. Review shared contact and address details too.
- Select Save only for the intended approved changes. Use Cancel when only reviewing.
3. Check a user's role and clinic membership
- Open Settings → Users and search for the colleague.
- If missing, check the doctor-only, archived, Role and Clinic filters.
- Read the name, email, clinic, role and doctor flag.
- Select that row's pencil to open Edit User.
- Check Name, Email, Phone, Role and Clinics.
- Set the doctor flag, qualifications and printed title according to the person's actual work.
- Before saving, review the access provided by the role and clinic membership. Select Cancel when only reviewing.
- Use Create User for a new account after checking for an existing one.
4. Read a role's permissions
- Open Settings → Roles.
- Check the role name, resource count and number of users. A role can be shared.
- Select the role name. The example reviews Doctor without saving a permission change.
- Find the required group, such as Patient or Visit.
- Review each resource's switch, Read, Create, Edit, Delete and Scope separately.
- Mine and All are scope choices. Some resources also have a Modification window.
- Save only intended approved changes. To leave a review, use the editor's Cancel, then return through Settings → Roles.
5. Review departments
- Open Settings → Departments and find the existing department.
- Check Name, Name (English), Room and Default.
- Use the row's pencil to edit. Use Create Department for a new one.
- In Edit Department, check the names and room. Select Default only when intended.
- Select Save for an intended change, or Cancel when only reviewing.
- After saving, check the available department in the appointment form.
Check that it worked
The intended user or clinic can see the correct work pages. Ask that person to sign in and confirm access using their own account.
❓ FAQ
Does changing a role affect only the person on screen?
A role can be assigned to several users. Review the role and its members before changing shared permissions.
Why is a staff member missing from a clinic?
Check Users, the user’s clinic membership and the assigned role. A valid account does not automatically grant access to every clinic.
Can I rename a clinic to fix the patient’s address?
No. Clinics stores shared clinic information. Patient address details belong in the patient’s Profile.
