🎟️ Package settings
Before you start
Open Settings → Packages. Check the selected clinic. This page defines packages the clinic sells. A patient's purchased packages are under Patients → Packages.
The examples below use fictional $1 packages. They are for software training only.
1. Find an existing package
- Use Search to find the package name before creating another one.
- Check Price, Total Units, Validity (days) and Active.
- Turn off Only Active if an inactive package is missing.
- Select the package name to edit it. The trash button at the far right is a delete action.
2. Create a package with fixed uses and validity
- Select Create Package.
- Enter a clear Name and check Price in HKD.
- Check Status. Active makes this definition available for use in the clinic's workflow.
- Under Usage & validity, select Fixed units and enter Total Units.
- Select Fixed duration and enter Validity (days).
- Use whole numbers above zero for fixed units and days.
This example is DEMO one-day package: $1.00, one use and one day. Do not copy its values into a real clinic package.
3. Define the package items
- In Package Items, enter Item Name and Value per Unit.
- Select Add Item if the package covers another item.
- Use a different name for each item. Check each value before saving.
- To remove an extra unsaved row, use that row's delete button. Keep at least one item.
Price is the package selling price. Value per Unit is used when recording consumption of an item. They are different fields. Adding an item does not mean the package has already been sold or used.
The screenshot shows an extra draft item. That extra row was removed before the example package was saved.
4. Use unlimited options when appropriate
- Select Unlimited units if the approved package has no fixed use count.
- Select No expiry if it has no fixed expiry.
- Still enter the price and package items. Review their values.
Unlimited uses do not mean an unlimited money balance. Review the patient's actual remaining value and status before each use.
5. Save and check the list
- Review the name, price, status, use limit, validity and every item.
- Select Save once.
- Wait until the package list returns. Confirm the saved name and values.
- Reopen the package if you need to check its items.
Cancel leaves without saving the draft. If an unsaved-changes warning appears, read the choices before leaving.
6. Stop offering a package
- Turn off Only Active if needed. Select the package name.
- Turn off Status. Confirm the form shows Inactive.
- Select Save.
- Confirm the list shows Inactive for that package.
- Turn on Only Active. The inactive package is hidden from this filtered list. Turn it off to find the package again.
This does not close a patient's existing purchased package. In this example, patient #6 still had an Active one-day package with one use after the definition was made inactive.
7. Recognise the delete action
The trash button on a package row opens a deletion confirmation. It does not open the editor. Check the name and any usage warning. Cancel leaves the package unchanged. This tutorial does not delete a saved package definition.
For daily retirement of an offering, first review Status with the clinic manager. To close one patient's package, follow Patient packages.
Before you leave
Check the correct clinic, saved price, status, units, validity and item values. If you changed a shared definition, review the relevant patient or checkout record separately.
❓ FAQ
Why is Save disabled?
An existing package's Save button can remain disabled when nothing has changed. If you did change something, check all required fields and any validation message.
Why will the form not accept my units or days?
Fixed units and fixed validity need whole numbers above zero. Choose Unlimited units or No expiry for the corresponding unlimited option instead of entering zero.
Can two package items use the same name?
The form checks for duplicate item names, including differences in letter case. Give each item a distinct name. Each value per unit must be above zero.
Is the package price the same as the value per unit?
No. Price is the selling-price field. Each package item has its own value per unit. Review both rather than assuming one updates the other.
Does Inactive close packages already owned by patients?
In the demonstrated record, it did not. The purchased package stayed Active with its original uses and validity. Check Patients → Packages for the actual patient's record.
Does No expiry remove the use limit?
No. Expiry and use count are separate choices. A package can have fixed uses without an expiry, or unlimited uses with a fixed validity.
I clicked the trash icon by mistake. What should I do?
Select Cancel in the confirmation. To edit, select the package name. Do not confirm a deletion just to leave the dialog.
