π§° Clinic lists and services β
Goal β
Find the right shared list. Identify create and edit controls. Check the saved result.
Before you start β
Get clinic-manager approval before changing shared lists. Check the clinic at the top left. These settings can affect appointments, patient details and checkout.
πΈ All data is fictional. This chapter covers internal lists. Receiving Accounts does not connect a bank or payment provider. Email notifications and external connections are handled separately.
Settings in this area β
| Information you need | List |
|---|---|
| Payment record names and fee rates | Receiving Accounts |
| Individual chargeable items | Services |
| Category names and colours | Tags |
| Referral sources | Referrers |
| Insurance companies selectable in records | Insurers |

Use the separate Package settings guide for package definitions. Use Patient packages for a patient's purchased packages.
Do these steps β
- Open Settings, then the required list. Select Settings again to expand its submenu if needed.
- Check existing names first. Use a search field where available.
- Use the row pencil to edit. Use the top-right create button for a new record.
- Create at the bottom saves a new record. Cancel leaves the create form. The bin is for deletion.
- Check the saved details in the list. A success message alone is not enough.
1. Receiving accounts β
- Open Settings β Receiving Accounts.
- Check existing accounts. Avoid two identical payment names.
- Select Create Receiving Account. Enter Name and Handling Fee Rate.
- The rate field shows %. Enter the approved percentage, not a fee amount.
- Select Create. Check the name and rate in the list. This round viewed the form without creating an account.
2. Services β
- Open Settings β Services. Check Only Active if an inactive service is missing.
- Use the row pencil to edit. Select Create Service for a new item.
- Enter Name and Price.
- Active enables the service. Default automatically adds it when a consultation is completed. Use only approved settings.
- Select Create. Check the price and flags in the list.
3. Tags β
- Open Settings β Tags. Check existing names first.
- Select Create Tag. Enter Name, choose Color, and add Description if needed.
- DEMO ζεΈζ¨η±€ is a training example. Use approved category names for normal work.
- Select Create. Check its name, description and colour in the list. The example tag was created. No existing tag was deleted.
4. Referrers β
- Open Settings β Referrers. Check the existing person or organisation name.
- Use the row pencil to edit. Select Create Referrer to add one.
- Enter Name, Phone and Notes. Select Create.
- Check the saved name and phone in the list. Creation does not send the referrer a message.
5. Insurers β
- Open Settings β Insurers. Look for the existing company first.
- Select Create Insurer.
- Enter Insurer and applicable Notes. Select Create.
- Confirm the company name in the list. A list entry does not mean an insurer has approved a claim.
6. Equipment β
- Open Settings β Equipment. Check existing device names first.
- Use the row pencil to edit. Select Add Equipment for a new device.
- Enter Name, English Name and Description. Choose Color.
- Exclusive allows one appointment to use the device at a time. Active controls whether it is available for appointments.
- Select Create. Check the list. Follow the appointment guide to select equipment in a booking.
Check that it worked β
The name is not duplicated. Prices, rates, colours and flags match the approved information. Check the page that uses the list too. A closed form alone does not prove that it saved.
β FAQ β
Should I delete a service that the clinic no longer sells?
Check whether it is already used by records. If the form has an active or availability option, use the clinic-approved approach instead of deleting history-linked data.
What is the difference between a Service and a Package?
A service is a chargeable item. A package contains defined items or entitlements and has its own purchase, validity and usage records.
Can I change a receiving accountβs name freely?
Receiving Accounts is used in payment records. Check the account identity, fee settings and clinic approval before saving a change.
