🧑⚕️ Patients
What you will learn
Find the correct patient, create a record and save a change. You will also learn which patient tab to open.
📸 DEMO STARTER / 教學新同事 is a fictional patient used for these screenshots. Use the real patient's verified information in daily work.
1. Find the patient first
- Open Patients in the left menu.
- Use the search box above the list. Search by Patient No. / Name / Document No. / Phone No. / Email.
- Check the matching rows. Compare more than the name, following your clinic's identity-check process.
- Select the matching row. Check the name and patient number at the top of the detail panel.
- If too many records match, open Advanced Search and narrow the search. Clear old filters when starting a different search.
When the result is too broad or empty
- Select Advanced Search beside the search box. More fields appear below it.
- Use verified Patient No., Document No., Phone No. or Email details. You can also choose gender.
- Check the list below. If it is empty, check for an old filter first.
- Use Clear with the cross icon at the lower right of the expanded area to clear the group. The Clear beside gender handles that choice.
- Select Advanced Search again to collapse the fields.
Choose the list columns
- Select Columns.
- Check the columns you need. Uncheck a column to hide it.
- Select a blank area outside the menu, then check the list headings.
- To restore the default columns, reopen the menu and select Reset columns.
2. Create a new patient
- Search first. Only continue if the patient does not already have a record.
- Select Add. The right panel shows Create new patient.
- Enter Name and, when available, English Name.
- Fill in the verified details your clinic needs. The table below explains the field groups.
- Read the name, document number and phone number again. Check any consent choices with the patient.
- Select Create once. Cancel leaves without creating the patient.
| Field group | What to enter |
|---|---|
| ID Type / Document No. | The verified document type and number. Do not invent a number. |
| Gender / Blood Type / Birth | Information supplied or confirmed by the patient. Leave unknown information unset. |
| Area Code / Phone No. / Backup Phone No. / Email | Check the area code and digits separately. |
| Tags | Choose clinic-approved labels. |
| Other Information | Doctor, referral source, addresses and applicable consent choices. |
| Emergency/Guardian Contact | Contact name, number and relationship. |
| Insurance | Insurer, Plan, Membership No. and Insurance Notes. |
Check the result
The new example patient is #9. The record appears in the list. The right panel shows its patient number and the patient tabs. A Patient created message confirms the request succeeded. Search for the record before trying again if the connection is slow.
3. Edit a patient's profile
- Select the patient, then open Profile.
- Change the required field. The panel enters Editing mode and shows Unsaved changes.
- Review your changes and the patient name at the top.
- Select Save Changes. Select Cancel if you want to discard the edit.
- Wait for Patient updated. Check the field again. Opening another tab is not a substitute for saving.
4. Choose the correct patient tab
| Tab | Use it for |
|---|---|
| Profile | Identity, contact, guardian and insurance details. |
| EMR | Clinical history. Open a record to review its date, doctor and clinical details. |
| Timeline | Events such as patient creation, appointments, consultation completion and payments. It is not a list of every field edit. |
| Follow Ups | This patient's follow-up tasks and linked appointments. |
| Files | Uploaded files. See Patient files and documents. |
| Packages | Purchased packages, remaining uses, validity and activity. See Patient packages. |
| Documents | Patient documents available for preview or printing. |
Open clinical history
- Check the patient name at the top, then select EMR.
- Under History, choose the record with the intended date and doctor.
- Read the details on the right. Use Consultation or Checkout only when you need that visit's work area.
- This screenshot switches to fictional patient #7 / 教學病人, who already has a consultation. It is not new patient #9's history.
Before you finish
- Check that Unsaved changes is no longer shown.
- Check the patient's name again before opening EMR, Files or Documents.
- Use Close beside the patient heading to return to the full list.
❓ FAQ
I found two similar patient records. Which one should I use?
Compare the patient number and the verified identity details. Do not choose only by name. If both could be the same person, ask the authorised clinic colleague to check them. Do not delete a record to make the list look tidy.
What if the system says the phone, email or document number already exists?
Search both Patients and Leads using that detail. It may already belong to an existing record. Check the identity before deciding whether to edit the record or convert a lead.
Did my profile edit save automatically?
An Unsaved changes label means it has not been saved. Select Save Changes, wait for confirmation, then check the field. Cancel discards the pending edit.
Why is an EMR or patient tab missing?
Your role may allow the patient list but not the contents of every tab. Ask your manager for the access required for your task. See Roles and access.
Can I delete a patient who has consultations?
The system can prevent deletion when a consultation exists. Do not remove clinical history to bypass that restriction. Ask the authorised record owner to review the case.
