👥 Roles and access
Goal
Understand why two people may see different menus.
Before you start
You need your own HelloClinic account. Your job title alone does not decide what you can open. The permissions assigned to your account decide that.
Do these steps
- Look at the menu on the left. Use the pages that are visible to you.
- If you are at the front desk, start with Appointments, Patients, Leads and Follow Ups.
- If you are a doctor or nurse, start with Consultation and Patients. Use Checkout only if your clinic has given you that duty.
- If you manage the clinic, ask your clinic owner or authorised administrator before changing users, roles, services or other shared settings.
- If you need a missing menu, tell your manager the page name and the task you need to do. Ask them to review the permission for that task.
Read the administrator's permission screen
- An authorised administrator opens Settings → Roles and selects a role name.
- Resources have separate Read, Create, Edit and other actions. Read access does not imply editing access.
- Check Scope and distinguish Mine from All.
- If shown, check Modification window too. Unlimited means this window has no limit.
- A staff member requesting access should tell the administrator the page and intended task so this screen can be checked.
Check that it worked
You can open the pages needed for your shift. You do not need to borrow another person's account.
❓ FAQ
Does being called a doctor automatically give me clinical access?
No. The role assigned to your account decides the access. The clinic administrator must assign the appropriate permissions.
What is the difference between Read, Create, Edit and Delete?
Read allows viewing. Create adds a record. Edit changes an existing record. Delete removes a record where that action is supported. Having one permission does not automatically give all the others.
Why can I create another doctor’s appointment but not open it later?
An appointment permission scoped to Mine can allow creating for another doctor while restricting access to existing appointments to your own. Ask a colleague with the correct scope to handle the existing booking.
Should I ask for every permission to avoid errors?
Ask for the access required for your work. Report the page name, the missing action and the clinic to the authorised administrator.
